How to Add a Task via E-mail?

You can create new tasks in TaskQuark, just using your email client, by sending a message to the email address me@tq.contact.

Some use cases for this feature are:

  • Quickly add a ToDo item from your phone, by sending a quick email

  • Save a Youtube video to watch later, using the “Share via email” button

  • Save a link to a webpage to read later, by copying the URL and sending it via email

Note

Only emails sent from the same email address in your TaskQuark profile will be processed. All other sender emails will be ignored.

Adding a Task

To add a task via email, just send an message from your address in your profile to the address me@tq.contact.

Tip

Add the email address me@tq.contact to the contact list in your email client to make it easier to quickly send tasks via email.

A new task will be created with the following information:

  • project: your default project (usually, the TODO project)

  • title: the subject of the email

  • state: the “todo” state

  • priority: the “C” priority

  • description: the body of the email (the original email may contain images and links, that will not be displayed in the task description.)

The description of the task will also be expanded with some additional information about the email received:

Adding a Calendar Event

If the email sent to me@tq.contact contains an attachement with an ICS file, the task will be created with the information contained in the ICS file:

  • title: the summary of the event in the ICS file (the subject of the email is ignored)

  • project: the default project

  • state: the “todo” state

  • priority: the “C” priority

  • description: the description of the event in the ICS file (the body of the email is ignored)

  • start date and time: the start date and time of the event in the ICS file

  • end date and time: the end date and time of the event

  • due date and time: set to the start and time date of the event

In addition to that, the original dates from the ICS file are automatically translated to your profile timezone, so the appointment will be displayed in your local time.

In this case, the task description may display some additional event information:

Tip

When you register for an event, you usually receive a confirmation email with an ICS file attached. Just forward that email to me@tq.contact and your appointment will be added to your TaskQuark default project.

The ICS file

An ICS file is a file with a standard format that stores calendar event information. It is used by many email and calendar programs, including Google Calendar, Microsoft Outlook, and Apple Calendar, as well as other tools to send appointments and event information.

As long as the attachment in your email to me@tq.contact has the .ICS extension, the content of the file will be parsed and that information will be added to the task.
